The Board of Stewardship is searching for a new administrative assistant. A job description for the position follows. In addition to a salary, other benefits include, health insurance, retirement, vision and dental insurance, long term disability and paid vacation. While we are looking for a person with a variety of skills, one plus is a knowledge of the Cumberland Presbyterian presbyteries and local churches.

TITLE: Administrative Assistant
DATE: November 2021
ACCOUNTABLE TO: Executive Secretary
PURPOSE: Provide administrative and clerical assistance in support of the work of the Board of Stewardship and its staff.
RESPONSIBILITIES:
1. General Coordination and Communication
a. Maintain, update, and monitor the files and records of Endowment Program, Retirement Program, Church Loans, and Investment Loan Program.
b. Maintain calendar of staff meetings, travel schedules, vacations, and appointments; and facilitate the flow of inter-office communication.
c. Coordinate, make arrangements for, and attend staff meetings and Board meetings.
d. Cooperate with staff in preparation of agendas, minutes, correspondence, and publications including mailings to churches, pastors, etc..
e. Prepare and process vouchers and invoices for payment by the Central Accounting Division (CAD).
f. Sort and route mail.
2. Investment Loan Program
a. Answer inquiries concerning the program, its policies, procedures, and accounts.
b. Receive and process all checks for deposit, including preparation of deposit registers for transmission to CAD and mailing deposits.
c. Receive requests for disbursements, monitor account balances, prepare check authorizations for CAD, sign and mail checks.
d. Help to prepare and send reports to account holders.
e. Maintain and authorize recurring monthly disbursements from accounts.
3. Endowment Program and Church Loan Program
a. Answer inquiries concerning the program, its policies, procedures, and accounts.
b. Maintain schedule of non-monthly disbursements and authorize the same.
c. Record endowment contribution checks deposit checks in bank.
d. Maintain donor name and address file for mailing of quarterly reports to donors.
e. Mail monthly investment reviews to Board members and participating organizations.
f. Prepare Deed of Trust Notes.
g. Monitor current status of insurance coverage for property securing deeds of trust.
h. Monitor delinquency status of church loans, ascertaining the causes of new delinquencies, and reporting on needed follow-up to Executive Secretary.
i. Work in cooperation with CAD to prepare and mail annual 1099R’s to Gift Annuity Program participants.
j. Work in cooperation with CAD to prepare and mail annual W-3 transmittal and 1099R copies to Social Security Administration.
4. Retirement Program
a. Answer inquiries concerning the program, its policies, procedures, and accounts.
b. Do trouble-shooting on problems related to transmittal of contributions.
c. Work in cooperation with CAD to prepare and mail annual 1099R’s to Retirement Program annuitants.
d. Work in cooperation with CAD to prepare and mail annual W-3 transmittal and 1099R copies to Social Security Administration.
e. Record contributions to accounts and deposit check into bank account.
5. Auxiliary Duties
a. Procure office supplies.
b. Other duties to fulfill the work of the Board of Stewardship
EXPERIENCE AND EDUCATIONAL REQUIREMENTS:
Prefer a bachelor’s degree and a minimum of four years experience in the administrative assistant profession and/or business. Preference for mature person with experience or specialized training, willing to be with other staff to fulfill the work of the Board of Stewardship. Knowledge of the Cumberland Presbyterian churches and presbyteries is a plus.
SPECIAL REQUIREMENTS:
This position requires a person with communication and editorial skills, and who has a working knowledge of the computer operations, word processing, and who is familiar with standard office procedures. Prefer knowledge of Microsoft Word, Excel and other computer software. The position requires a reliable, professional, cooperative and competent person. This person should be a self-starter, able to work with minimum supervision and flexible in style.
